File transfer

Sound files can be received via the web or accessed via a virtual private network (VPN). The format for the delivery and encryption of, or access to, files is agreed with your IT department and all workflow methods and processes are developed in conjunction with them. Our workflow is tailored to meet the requirements of each client ensuring complete confidence in the procedures adopted. Our working environment is unique: it is in a central facility, based in the UK, thereby enabling us to protect and maintain the integrity of data and document flow. Because we specialise in the legal sector we are quick to understand the workflows within your practice management and or document management system. We will build a solution specifically to support the systems you already have in place, meeting your requirements and ensuring integration where appropriate.

Quality

A designated team comprising of production managers, trainers and transcriptionists are assigned to each client and are trained to work with your precedents and styles ensuring that documents are quickly and professionally completed and returned to you within agreed service levels. Quality controls are designed and implemented in conjunction with your existing procedures and all documents are quality checked prior to return. Quality and attention to detail are treated with the highest importance by our teams and this is further supported by individual and team bonus schemes, which include quality of service as a determining factor.

Confidentiality

Confidentiality is of paramount importance to our clients and therefore security of data is at the forefront of our minds. Because our services are provided from one central location, not by home workers, controls and monitoring of activity and staff is easily achieved and the integrity of data and information is maintained. Our teams are carefully selected and IT systems have been designed to ensure that security is maximised. Confidentiality is a critical part of team induction and refresher training. In addition to vetting during the recruitment process and staff signing a confidentiality agreement, practical measures are taken such as limiting internet access, controlling all software via server and not PC, limiting use of mobile telephones to recreation areas, disabling all removable data ports.
